CUSTOMIZING DOCUMENTS WITH GRAPHICS AND TEXT

You can add your own graphics, logos and text to the header and footer areas on Invoices, Quotes and Letters (no footer on letters).

Note: If you want to use your own ready printed headed paper then you'll need to delete the existing example graphics and text to leave a blank header.

Layout pages can be accessed using the 'Customize Layout' buttons in the Invoices, Quotes and Letters sections. All sections work in the same way so we'll use the Invoices section as an example...

Note: Changes to header graphics and text will be applied to ALL existing invoices in addition to new ones so it is worth saving (and archiving) a backup before making any changes. Changes to footer text will only appear on new documents, exisiting ones won't be affected.

From the 'Clients / Sales' section select 'New Invoice'. Now select the 'Customize Layout' button (bottom right).

To insert image files select the 'Insert Graphic' button at the top of the page to insert a logo for the header for example. See 'Inserting Graphics' below.

To insert text select the 'Insert / Modify Text' button at the top of the page for the header and at the bottom of the page for the footer.

Header Text: The header will generally be used for your company contact details.

Footer Text: The footer would usually be used for any additional terms and payment options, this text is the default text and can be altered on a per invoice basis.

To change the text in the column headers (Description, Unit Price, Qty/Hours and Line Total) simply click on them.

When done click 'FINISH' you will then be asked if you want to copy any changes made to the Invoice header over to the Quotes or Letters layouts. You would usually select 'Yes'. Select 'No' if you want to (or already have) setup different graphics or text on the Quote and Letter headers.

Inserting Graphics


To get an idea of the area allowed for your header graphic select 'Insert Graphic' and then 'Cancel' you can then see the rectangular area highlighted on the invoice.

To create a suitable image file for a document header first create a document 2000 pixels wide x 776 pixels high with a white background using the image editor or design software of your choice (Photoshop for example). This white rectangle now represents the entire document header area as highlighted earlier.

You can now place your logo within this document in the position you wish it to appear on the page i.e. if you want your logo to appear top right place it top right in the image file. Experiment a little and you'll get the idea.

Header graphics will automatically be resized to fit proportionally and aligned right so if you created a square image file the whole image would be resized to fit vertically and aligned right.

Graphics formats supported are: JPEG (.jpg), GIF (.gif), Photoshop (.psd), PICT (.pct), PNG (.png), TIFF (.tif) and Windows Bitmap (.bmp)

Mac users have the added benefit of being able to use PDF (.pdf) files which enable you to create vector based artwork (in Adobe Illustrator or InDesign for example) and save it as a PDF for the best resolution independent printed output.

Inserting Text

It is generally better to use the text area for high quality text instead of including it in your graphics file.

The text will sit on top of any image placed on the page and has a transparent background, use the 'Format' menu at the top of the screen to place the text to your liking; use 'Format' > 'Text...' > 'Paragraph' and experiment with indents and alignments as required. Note: The default values are Left and Right Indents: 5px, Line Spacing: 13 pixels.
